Help & guides

Help with property and your account

Find guidance on searching, listing and managing property with tropicalroot.

Start here — pick your path

I'm looking for a place

  • ·Browse homes, land, commercial space and businesses for sale or rent.
  • ·Filter by area, budget, size and lifestyle — or type what you want into search.
  • ·Open a listing for photos, property details and its map location.
  • ·Ask a question straight from the listing — it goes to the consultant responsible for that property, or tap WhatsApp / LINE for a quick chat.
Search properties

I own a property

  • ·Create an account and pick “Owner” — you'll be guided through adding your first property.
  • ·Add photos, details, documents, costs and maintenance jobs — everything lives on the property's own page.
  • ·When it's ready, send it for review. The tropicalroot team checks it and publishes it — listings can't go live without agency approval.
  • ·Give your tenants their own sign-in from the property's People tab, choosing exactly what they can see.
List or manage a property

I'm a tenant

  • ·Your landlord or agent sends you a private invitation link.
  • ·Sign in with the email the invitation was sent to — no special setup.
  • ·The property appears in your account with only the sections you were granted: rent, maintenance jobs, documents, messages.
  • ·You can follow jobs, read documents and message everyone on the property in one place.
Sign in to your home

I'm an agent or consultant

  • ·Your manager invites you to the agency workspace.
  • ·You manage the listings assigned to you: details, photos, enquiries and follow-ups.
  • ·Enquiries on your assigned properties appear in the Manager for follow-up.
  • ·Client contact details stay protected — they're handled inside the system.

How things work

Every listing is reviewed by the tropicalroot team before it goes public — that's what keeps the site trustworthy.

Listing a property, step by step

  1. 1Add the property details, location, photos and pricing.
  2. 2Save the property privately and return to it when you're ready.
  3. 3Submit the listing for review when you want it considered for the website.
  4. 4Our team reviews the details and any supporting documents before publication.
  5. 5Once approved, the listing can be published. Later changes may need another review before they appear publicly.

From enquiry to keys

  1. 1Every question sent from a listing is recorded against that property's reference number.
  2. 2The consultant responsible for the property is notified and picks it up.
  3. 3For a quick chat, contact us on WhatsApp or LINE. Send the enquiry form to keep your request linked to the property.
  4. 4Viewings, offers and agreements are followed through until the deal is done, then the listing is marked Rented or Sold.

Ongoing property management

  1. 1Log a maintenance job on the property — pick the space, the work, urgency, and who's doing it.
  2. 2Attach trusted tradespeople once and reuse them on every property.
  3. 3Record costs such as pool care, gardening, insurance and repairs in the property's records.
  4. 4Store contracts and documents on the property and check upcoming expiry reminders.

Reminders that keep you on track

What needs attention

Your dashboard opens with a “Today” view — overdue tasks, jobs due, rent renewals, approvals waiting and new enquiries, all in one place.

Never miss a date

Keep track of rent due dates, lease renewals, document expiries and planned maintenance.

Documents with expiry warnings

Check upcoming expiry dates for contracts and permits stored on a property.

Quality nudges

If a listing is missing photos, a price or a proper area, the team sees it flagged and fixes it — which keeps the public site tidy.

Lease renewal nudges

Sixty, thirty and seven days before a lease ends you get a reminder in the Manager and an email, so renewals and changeovers are agreed in good time.

Every enquiry gets a follow-up

New enquiries receive follow-up tasks. Overdue follow-ups appear in your reminders.

Weekly summary email

On Mondays, owners with something to act on receive a summary of enquiries, jobs, rent, documents and leases. You can turn this off in Settings.
